Manage guests and check-in

Review requests and get your team ready to welcome guests.

Open Events  (opens in a new tab) and choose your event. Use Guests to manage registrations, and Scan tickets when you are ready to check people in.

Prepare your guest list

  • Search by name or email and use filters to find the people you need.
  • Review Needs approval requests and approve or decline them. Confirmed guests receive their tickets.
  • Check waiting-list entries separately from confirmed guests. A Maybe response is also separate from a booking.
  • Export the guest list if you need a working copy. An export reflects the list at that moment, so download it again after significant changes.

Invite your door team through Team settings  (opens in a new tab) and check Roles & permissions  (opens in a new tab) to make sure their role gives them the access they need. Have each person open the event and scanner on their own device before the event starts.

Use the Guests tab to find a booking, filter the list or open check-in. Example event and guest details.

Scan a ticket

  1. Open Events  (opens in a new tab), select the correct event, then choose Scan tickets.
  2. Start the camera and allow camera access in the browser. Use the scanner inside RealEvents to read the guest’s QR code.
  3. In Standard mode, review the guest details and choose Check in.
  4. In Express mode, a valid ticket without a warning is checked in automatically. Read the result before moving on to the next guest.

Successful check-in

Green confirms that the guest has been checked in. Read any warning before admitting a flagged ticket. Example event and guest details.

Read warnings before confirming

The scanner warns about situations such as the wrong event date, a cancelled ticket or a previous check-in. A warning is not a successful check-in; review it before using any confirmation action offered.

A ticket for another event in your series can be recognised, but that does not automatically admit it to the event you have open. Check the event and date with the guest.

If you check someone in by mistake, use Undo on the result. Their ticket remains a booking; undoing check-in only removes the arrival record.

Amber asks you to review the result. This ticket has already been used for check-in. Example event and guest details.

If the camera or QR code is not working

  • Check the browser’s camera permission and try again. Ask the guest to increase screen brightness or open the original ticket.
  • Enter the confirmation code from the ticket in the code field.
  • Use Search guests to find the booking by name or email, then check in the correct seat.
  • Keep an internet connection available. Check-in needs to reach RealEvents to verify and record arrivals.
